Plain English summary: We collect only what we need to run the Service. We do not sell your data. We do not share it with advertisers. Payment processing is handled entirely by Stripe — we never see your card number. You can request deletion of your data at any time.

1. Who We Are

ProKeeper ("we", "us", "our") operates the field service management tool at prokeeper.app. We are based in Powell, Ohio, USA.

2. Information We Collect

Account information: When you create an account, we collect your email address and password (stored as a secure hash — we never see your actual password).

Business profile information: You may optionally provide your business name, phone number, address, and invoice prefix in Settings. This is used only to personalise your experience and appears on any documents you generate.

Customer and service data: Any customer names, phone numbers, addresses, service records, and payment history you enter into ProKeeper ("Your Data") is stored on your behalf. This data belongs to you.

Billing information: We collect your billing plan selection. All payment processing (credit card numbers, bank details) is handled directly by Stripe, Inc. We receive only a Stripe customer ID and subscription status — never your card number or full payment details.

Usage data: We may collect basic technical information such as your IP address, browser type, and pages visited within the app for security and debugging purposes. We do not use third-party analytics trackers.

3. How We Use Your Information

We use the information we collect solely to:

  • Provide, operate, and maintain the Service
  • Authenticate your account and keep it secure
  • Process subscription payments via Stripe
  • Send transactional emails (password reset, account notices)
  • Respond to your support requests
  • Comply with legal obligations

We do not use your data for advertising, profiling, or any purpose other than providing the Service to you.

4. How We Share Your Information

We do not sell, rent, or trade your personal information to any third party. We share data only in the following limited circumstances:

Stripe: Payment processing. Stripe may collect and process your payment information subject to Stripe's Privacy Policy.

Supabase: Our database and authentication infrastructure provider. Your data is stored on Supabase's servers subject to Supabase's Privacy Policy.

Vercel: Our hosting provider. Your requests to the app are served through Vercel's infrastructure subject to Vercel's Privacy Policy.

Legal requirements: We may disclose your information if required to do so by law or in response to valid legal process (e.g., a court order or subpoena).

5. Your Customer Data

The personal information you enter about your own customers (names, phone numbers, addresses, service history) is your data. You are the data controller for that information. We act only as a data processor on your behalf.

You are responsible for ensuring you have appropriate consent or legal basis to store your customers' personal information in the Service, and for complying with any applicable privacy laws in your jurisdiction.

We do not access, use, or share your customers' personal information except as necessary to provide the Service to you.

6. Data Retention

We retain your account data for as long as your account is active. If you cancel your account, we will retain your data for 30 days to allow for reactivation or export, after which it will be permanently deleted from our systems.

Stripe may retain billing records independently as required by financial regulations.

7. Data Security

We take reasonable technical and organisational measures to protect your data, including:

  • All data transmitted to and from the Service is encrypted using HTTPS/TLS
  • Passwords are hashed using industry-standard algorithms — we cannot recover your password
  • Database access is protected by Row Level Security — your data is isolated from other users
  • Payment processing is handled by Stripe, a PCI-DSS Level 1 certified provider

No method of transmission over the internet or electronic storage is 100% secure. While we take all reasonable steps to protect your information, we cannot guarantee absolute security.

8. Cookies

We use only essential cookies necessary to operate the Service, specifically authentication session cookies provided by our auth infrastructure (Supabase). These cookies are required for you to stay logged in.

We do not use advertising cookies, tracking pixels, or third-party analytics cookies.

9. Your Rights

You have the following rights regarding your personal data:

  • Access: You can view all data you have entered by using the Service directly
  • Correction: You can update your account and business profile information in Settings at any time
  • Deletion: You can request deletion of your account and all associated data by emailing prokeeper.app@gmail.com
  • Export: You can contact us to request a copy of your data in a portable format

We will respond to all data requests within 30 days.

10. Children's Privacy

The Service is not directed to children under the age of 13. We do not knowingly collect personal information from children under 13. If we learn that we have collected personal information from a child under 13, we will delete that information promptly.

11. Changes to This Policy

We may update this Privacy Policy from time to time. If we make material changes, we will notify you by email or by displaying a notice within the Service before the changes take effect. Your continued use of the Service after the effective date constitutes your acceptance of the revised policy.
